Choosing the right greeting
Use the hiring manager’s title and surname, such as “Dear Mr Tan” or “Dear Ms Wong”. Singapore names follow several conventions, and a Chinese name is usually written surname first, so check the order on LinkedIn or the company site before writing. For Malay and Indian names the surname convention differs, and using the full name after the title is a safe, respectful choice. When no name is available, “Dear Hiring Manager” is widely accepted and reads better than an old-fashioned “To whom it may concern”.
Opening: role, source and fit
Name the position and where you found it, whether a company careers page, a job portal such as MyCareersFuture, or a recruiter. Then give a single sentence summarising why you suit the role, drawing on your strongest relevant experience. Local readers generally respond well to a direct, courteous opening without exaggerated claims. If a current employee referred you, mention it here, since internal referrals are common and can move your application up the queue.
Body: evidence and regional context
Use one or two paragraphs to show how your experience matches the main requirements in the advert. Choose two or three specific examples with clear outcomes, and add context that your resume cannot show, such as why you moved between industries or how you worked with teams in other countries. Many Singapore roles are regional hubs, so experience with stakeholders across Asia is worth highlighting. Say briefly why this organisation appeals to you, referring to its products, clients or growth plans rather than generic praise.
Closing: availability, status and next steps
The final paragraph is the natural place for practical details. State your notice period and, if relevant, your pass status or whether you would need an Employment Pass or S Pass. Some advertisements ask candidates to include expected salary in the application; if so, give a considered range here rather than ignoring the request. Otherwise leave salary for the interview stage. Thank the reader, say you would welcome the chance to discuss the role, and sign off courteously.
Format and delivery
Match the font and header of your resume so the two documents look consistent. For email applications, write a clear subject line with the job title and any reference number, place a short version of the letter in the message body and attach your resume as a PDF. Dates in Singapore follow the British order, such as “14 March”. Keep paragraphs short, leave a blank line between them, and proofread names and company details carefully before sending.
