When a cover letter is expected
Many Indian job portals and campus drives never ask for one, and consultancies often forward only the resume. Cover letters matter more for direct applications to multinationals, start-ups, non-profits, research roles and anything sent by email to a named person. When you apply by email, the message you write effectively is your cover letter, so treat it with the same care. A brief, specific note is usually more welcome than a long formal one.
Greeting and tone
Use the hiring manager’s name if the job post, company website or LinkedIn gives it: a surname with Dear, Mr or Ms is better than a generic opener. When no name is available, “Dear Hiring Manager” works well. “Respected Sir/Madam” and “Dear Sir” still appear in government and traditional settings, but in most private companies they read as old-fashioned. Keep the tone polite and direct, and avoid long preambles about your family background or school years.
What to put in the body
Open with the role you are applying for and one line on why you fit. The middle paragraph should give one or two concrete achievements that match the job, ideally with numbers. A short closing paragraph can mention your notice period and location, and invite a call. Do not repeat your whole resume, and do not quote salary expectations unless the job post specifically asks you to include them.
Sending it by email
Write a clear subject line, such as “Application for Senior Accountant – [Your name]”. Put the letter in the email body and attach your resume as a PDF with a sensible file name. Keep the email free of emojis, coloured fonts and chat-style abbreviations. Include your phone number under your name, because Indian recruiters very often follow up with a call rather than a reply.
Freshers and career changers
For freshers, the cover letter is a chance to explain internships, final-year projects or certifications that a one-page resume can only list. Keep it to one tight paragraph on each. Career changers can use a sentence to explain the move and show which skills transfer. In both cases, a specific reason for choosing that company works better than general praise for its size or reputation.

Tips
- Mention your notice period and current city in the closing paragraph, because Indian recruiters need both before they can schedule interviews.
- Write a precise email subject line with the role title and your name so the application is easy to find later.
- Replace “Respected Sir” and “Kindly do the needful” with plain, modern phrasing that works across Indian and global teams.
- Read the letter aloud once before sending to catch long sentences and repeated words that slip in when writing formally.
