Resignation letter due to relocation to another city

If you are moving to another city because of family, a spouse’s transfer or personal plans, say so in one line. There is no need to explain every detail. Confirm your last working day, offer a thorough handover and, if you would like to stay, ask whether a transfer to another branch or a remote arrangement is possible.

Tips for this resignation letter

  • If you would like to stay with the company, ask about a branch transfer or remote work before resigning, since a formal resignation can be hard to withdraw.
  • Plan your notice period around the move date so that asset return, laptop submission and clearance can be done in person before you leave the city.
  • Update your address with HR before your last working day so that your relieving letter, Form 16 and any settlement documents reach you without delay.
  • Keep the reason brief and neutral; saying you are moving for family reasons is enough and nobody needs to know the full story.

Usually yes, unless your manager agrees to an early release. Check the notice clause in your appointment letter and ask HR whether leave adjustment or a notice buyout is allowed. If the move date is fixed, request early release in writing as soon as possible.

Some companies allow the last part of the notice period to be served remotely, especially for desk-based roles, but this is at the employer’s discretion. Propose it clearly in writing, and make sure laptop return and clearance are planned so your full and final settlement is not held up.

You can, as in the third sample, but make it clear which outcome you prefer. Some people send a transfer request first and resign only if it is declined. That keeps things simpler for HR and avoids confusion about whether you have actually resigned.
