How to resize a photo for an online form
- Read the notice of the form first. Note the width and height (in pixels, cm or mm), the minimum and maximum KB, the file type and the background colour it asks for.
- Pick the closest preset, or choose Custom. If the notice gives millimetres, convert with: pixels = mm ÷ 25.4 × 300 (for 300 dpi). So 35 mm becomes about 413 px.
- Use Fill mode and drag the preview so your face is centred, with a little space above your head and your shoulders visible.
- Enter the maximum KB, press Create photo, and check the final size shown before you download.
We keep the file under your limit counted as 1,000 bytes per KB, which also passes forms that count 1,024 bytes per KB.
Common reasons photos and signatures get rejected
- File below the minimum KB. If a form sets a range, such as 20–50 KB, and your file is too small, use a larger pixel size or a higher-quality original.
- Shadows on the face, caps, dark glasses, filters or a busy background. Retake it near a window against a plain wall.
- A signature on lined or coloured paper. Sign on plain white paper with a dark pen, photograph it in good light and crop it tight.
- An old photo. Many forms ask for a recent one, so check the notice.
