  1. Company letterhead, date and place of issue, and the employee’s name, designation and ID.
  2. A reference to the resignation letter and its date, and confirmation that it was accepted.
  3. The date the employee was relieved of their duties, and the full period of employment.

Because the full and final settlement is still being processed, that line is left out rather than claiming everything is cleared. The new employer will usually ask for this letter at joining to confirm the previous job has ended. It is separate from the experience letter, so HR issues both, each signed on letterhead.

Common mistakes

  • Stating that clearance and settlement are complete when they are not, which can cause disputes if dues are later found outstanding.
  • Combining the relieving letter and experience letter into one, when many new employers and verification checks ask for each separately.
  • Dating the letter before the last working day, which makes it look as if the employee was relieved before serving notice.
