Many Indian job seekers skip the cover letter, or paste the same three generic lines into every application. That is a missed chance. When a recruiter has fifty resumes that look similar, a short, specific cover letter can explain why you are a good fit for this particular role in a way a resume cannot. This guide covers when you need a cover letter, the format to follow, what to write in each paragraph, examples you can adapt, and the mistakes that make recruiters stop reading.
Not every application needs one, but it helps in more situations than people think:
On portals like Naukri or LinkedIn with a one-click apply option, a cover letter is often optional. If there is a box for a note, a few specific lines are still worth writing.
A standard cover letter for an Indian employer follows a simple business letter layout:
Use the same font and header as your resume so the two documents look like a set. Save and send it as a PDF unless the listing asks for Word.
Say which role you are applying for and where you found it. Then add one line that makes the reader want to continue: your current role, your specialisation or your strongest relevant achievement. Avoid opening with "I am writing to apply for..." followed by nothing else.
Pick two or three requirements from the job listing and show, with specific examples, that you meet them. This is the most important paragraph. Use numbers where you honestly can: the size of the team, the number of clients, the time saved, the percentage improvement, the marks scored.
Show that you have read about them. Mention their product, the sector they work in, the kind of clients they serve or the work of the team you are applying to. One or two genuine sentences are better than a paragraph of praise.
Thank them, mention that your resume is attached, and say you would welcome the chance to discuss the role. If relevant, mention your notice period or availability to join.
These examples are illustrative. Replace the details in brackets and make sure every line is true for you.
Dear Hiring Manager,
I am applying for the Graduate Software Engineer role at [Company name], listed on your careers page. I am a final-year B.Tech Computer Science student at [College name], and over the last year I have built three full-stack projects using React, Node.js and PostgreSQL.
Your listing asks for strong fundamentals in data structures and experience with REST APIs. During my eight-week internship at [Internship organisation], I built and documented four API endpoints for an internal inventory tool and wrote unit tests that were added to the team's test suite. My final-year project, a college event registration app, handled sign-ups for events across three departments.
I am interested in [Company name] because of your work on [product or area]. I would like to start my career on a team that builds software used by many people every day.
My resume is attached. I would welcome the chance to discuss how I can contribute. I am available to join from [month].

Dear Ms. [Surname],
I am applying for the Senior Accountant position at [Company name] (Ref: [number]). I have four years of experience in accounts payable, GST returns and month-end closing for a mid-sized manufacturing firm.
In my current role, I manage vendor payments for over 200 suppliers and file monthly GST returns without penalties. I reduced month-end closing from eight working days to five by standardising reconciliation templates in Excel and working with the purchase team on early invoice submission. I have also coordinated with statutory auditors for two annual audits.
Your listing mentions a move to a new ERP system. I was part of the team that migrated our ledgers during a similar change, and I would bring that experience to your finance team.
My resume is attached. My notice period is 60 days, and I would be glad to talk further at your convenience.

If the letter could be sent to any company for any role, it will be read as generic. Change the job title, the proof paragraph and the "why this organisation" paragraph every time.
The recruiter already has your resume. Use the letter to add context: why a project mattered, what you learned, or how your experience connects to their need.
Describing yourself as sincere, disciplined or a team player is easy to write and easy to ignore. Show those qualities through examples instead.
A letter addressed to the wrong company is one of the quickest ways to be rejected. Check the names before you send it.
