03 How the books stay clean

Collection, reconciled daily

Fee collection is where finance meets feelings. Behind every overdue amount is a parent under pressure, and behind every clean audit is a year of quiet, unglamorous discipline — reconciling daily, chasing gently, and never letting a discrepancy sit overnight. My rule is simple: the books balance every single day before I go home, and no parent is ever spoken to like a defaulter. Firm on the number, kind to the person.

  1. Record — every payment logged and receipted the moment it arrives, across cash, cheque, UPI and bank.
  2. Reconcile — bank, cash and ledger tallied daily. A discrepancy never survives the night.
  3. Follow up — polite, scheduled reminders and flexible plans, not harassment. Dignity intact.
  4. Report — real-time dues, ageing and collection dashboards for management, weekly.
  5. Close — month-end and year-end tied out, audit-ready, every rupee traceable to a receipt.

What they say

"

Sneha took our fee collection from a yearly nightmare to a non-event. Dues down, audit clean, and parents actually thank us for the clarity. Rare combination.

"

She chased my pending fees so gently I didn't even feel chased — just reminded, with a payment plan that worked for us. That's a professional.

Mr. ThomasParent
"

In six audits I never once found her books out of balance. Every rupee traced to a receipt. I wish every client had a Sneha.
