# Cover letter format in India

In India, a cover letter is often short and sent as the body of an email, with the resume attached as a PDF. Three or four paragraphs is plenty. Address the hiring manager by name when you can, state the role and your fit in the first lines, and close with “Regards” or “Yours sincerely”. Formal openers such as “Respected Sir” feel dated in most private companies.

## At a glance

| Item | Detail |
| --- | --- |
| Length | Three to four short paragraphs, well under one page. |
| Greeting | Dear Mr/Ms [Surname]; Dear Hiring Manager when no name is known. |
| Sign-off | Regards, Best regards or Yours sincerely, followed by your full name and phone number. |
| Layout | Plain business letter or email body; no photo, no personal details block. |
| How it is sent | Usually the email body, or a PDF attachment when a portal asks for an upload. |

## When a cover letter is expected

Many Indian job portals and campus drives never ask for one, and consultancies often forward only the resume. Cover letters matter more for direct applications to multinationals, start-ups, non-profits, research roles and anything sent by email to a named person. When you apply by email, the message you write effectively is your cover letter, so treat it with the same care. A brief, specific note is usually more welcome than a long formal one.

## Greeting and tone

Use the hiring manager’s name if the job post, company website or LinkedIn gives it: a surname with Dear, Mr or Ms is better than a generic opener. When no name is available, “Dear Hiring Manager” works well. “Respected Sir/Madam” and “Dear Sir” still appear in government and traditional settings, but in most private companies they read as old-fashioned. Keep the tone polite and direct, and avoid long preambles about your family background or school years.

## What to put in the body

Open with the role you are applying for and one line on why you fit. The middle paragraph should give one or two concrete achievements that match the job, ideally with numbers. A short closing paragraph can mention your notice period and location, and invite a call. Do not repeat your whole resume, and do not quote salary expectations unless the job post specifically asks you to include them.

## Sending it by email

Write a clear subject line, such as “Application for Senior Accountant – [Your name]”. Put the letter in the email body and attach your resume as a PDF with a sensible file name. Keep the email free of emojis, coloured fonts and chat-style abbreviations. Include your phone number under your name, because Indian recruiters very often follow up with a call rather than a reply.

## Freshers and career changers

For freshers, the cover letter is a chance to explain internships, final-year projects or certifications that a one-page resume can only list. Keep it to one tight paragraph on each. Career changers can use a sentence to explain the move and show which skills transfer. In both cases, a specific reason for choosing that company works better than general praise for its size or reputation.

## Sample cover letter

Replace the text in square brackets with your own details, and swap the examples for real results of yours.

> Dear [Hiring manager's name],
>
> Please consider my application for the [Role] opening at [Company name]. I have five years of experience in customer operations, most recently leading a team of twelve support executives, and I believe my background fits the requirements you have described.
>
> In my current role, I introduced a ticket-tagging system that reduced average resolution time by 25% within two quarters. I also trained new joiners on our CRM and quality checklists, which helped our team keep customer satisfaction scores above target for four consecutive quarters. I work comfortably with product and finance teams, and I am used to preparing weekly performance reports for senior management.
>
> What draws me to [Company name] is your focus on expanding service to smaller cities, where clear communication and quick resolution make a real difference. I would welcome the chance to bring the same process discipline to your support function.
>
> I am currently based in Hyderabad and am open to relocating. My notice period is 60 days, and it is negotiable. My resume is attached, and I am happy to speak on a call whenever convenient for you.
>
> Thank you for your time and consideration.
>
> Regards,
> [Your name]

## Tips

- Mention your notice period and current city in the closing paragraph, because Indian recruiters need both before they can schedule interviews.
- Write a precise email subject line with the role title and your name so the application is easy to find later.
- Replace “Respected Sir” and “Kindly do the needful” with plain, modern phrasing that works across Indian and global teams.
- Read the letter aloud once before sending to catch long sentences and repeated words that slip in when writing formally.

## Questions about India cover letters

### Do Indian companies read cover letters?

It depends on how you apply. Bulk hiring through portals and campus drives rarely looks at them, but hiring managers at start-ups, multinationals and smaller firms often do, especially when an application arrives by email. A short, tailored note costs little and can separate you from candidates who send only an attachment with no message.

### Should I write “Respected Sir” in a cover letter?

For most private-sector applications, no. It is a traditional form of address that many recruiters now consider outdated, and it assumes the reader is a man. Use the person’s name with Dear, or “Dear Hiring Manager” if you do not know it. For government or very traditional institutions, a formal greeting is still acceptable.

### Should I mention expected CTC in the cover letter?

Only if the job advertisement explicitly asks for it in the application. Otherwise, leave salary for the recruiter call or application form, where you can explain the breakdown of fixed and variable pay. Stating a figure too early can limit your negotiating room or screen you out before the employer has seen your strengths.
