A Canadian cover letter is one page, usually three or four short paragraphs, addressed to a named person whenever you can find one. It connects your strongest experience to the specific role, explains anything the resume cannot, such as a relocation or a career change, and closes with a polite request for an interview. Employers expect Canadian spelling, a professional tone that is friendly rather than formal, and no repetition of your resume line by line.

## At a glance

| Item | Detail |
| --- | --- |
| Length | One page, roughly 250 to 400 words in three or four paragraphs. |
| Greeting | Dear [Hiring manager’s name], or Dear Hiring Manager, if no name is available. |
| Sign-off | Sincerely, or Kind regards, followed by your full name. |
| Layout | Business letter format on Letter-size paper, matching your resume header. |
| How it is sent | PDF attachment, or pasted into the application form or email body. |

## Address it to a real person

Canadian employers generally appreciate a letter addressed to the hiring manager by name. Check the posting, the company website and professional networking profiles for the manager or recruiter responsible for the role. Use their first and last name, or a title such as Ms. or Mr. only if you are confident of it. When no name can be found, “Dear Hiring Manager” is widely accepted and far better than “To Whom It May Concern”, which reads as dated to most Canadian recruiters.

## Open with the role and your strongest match

Your first paragraph should say which position you are applying for and give one clear reason you fit it. Skip generic openings about being excited to apply. Instead, lead with a specific achievement or qualification that lines up with the most important requirement in the posting. If a current employee referred you, mention their name here, since referrals are taken seriously by many Canadian organizations and can move your application forward.

## Use the middle to prove two or three points

The body of the letter should pick two or three requirements from the posting and show, with brief examples, how you have met them before. Keep each example short and results-focused. This is also the place to address anything the resume leaves unclear: moving to a new province, returning after a break, changing fields or bringing international experience. Frame it positively and briefly, then connect it back to what you can offer the employer.

## Close with a clear next step

End by thanking the reader, restating your interest in one sentence and saying you would welcome the chance to discuss the role in an interview. Include your phone number and email under your name, even if they already appear in your header. If the role involves French, it can be helpful to say you are comfortable being interviewed in either official language, provided that is true.

## French-language applications

For roles in Quebec or bilingual positions, some employers expect the cover letter, and sometimes the resume, in French. Read the posting carefully: if it is written only in French, apply in French. If it is bilingual, you can usually choose either language, but writing in the posting’s primary language is safest. Never rely on machine translation alone for a French letter; ask a fluent speaker to review it before you send it.

## Sample cover letter

Replace the text in square brackets with your own details, and swap the examples for real results of yours.

> Dear [Hiring manager's name],
>
> I am applying for the [Role] position at [Company name]. Over the past six years I have coordinated operations for a regional distribution team, where I reorganized inbound scheduling and reduced average truck wait times by about a third. I would like to bring that same practical, process-focused approach to your team.
>
> Your posting emphasizes vendor communication and accurate reporting. In my current role I manage relationships with more than twenty carriers and suppliers, resolve delivery issues before they reach customers, and prepare weekly performance summaries for senior management. I also trained five new coordinators last year, creating a simple checklist that is now used across the site.
>
> I am particularly interested in [Company name] because of its focus on reliable service across several provinces. I work comfortably in both English and French, which I understand would be useful for your partners in Quebec, and I am happy to be interviewed in either language.
>
> Thank you for considering my application. My resume is attached, and I would welcome the chance to discuss how I could contribute to your operations team. I can be reached at the phone number and email address below.
>
> Sincerely,
>
> [Your name]

## Tips

- Match the letter to the posting by naming the exact job title and two or three requirements, then showing brief evidence that you meet each one.
- Keep the tone professional but warm; Canadian workplaces tend to value a collaborative voice over boastful claims or very stiff, formal language.
- Use the same header, font and spelling conventions as your resume so the two documents look like a matching, carefully prepared set.
- Proofread for consistent Canadian spelling and read the letter aloud once before sending; small errors are noticed more in a short document.

## Questions about Canada cover letters

### Do Canadian employers still read cover letters?

Many do, especially smaller organizations, public sector employers and roles that involve writing or client contact. Some postings make the letter optional, but a short, tailored one can help you stand out or explain a relocation or career change. If the application form has a cover letter field or upload option, it is usually worth using.

### How long should a cover letter be in Canada?

Keep it to one page. Three or four paragraphs, roughly 250 to 400 words, is typical and gives you room to introduce yourself, prove two or three key points and close politely. Longer letters are rarely read in full, and very short notes of a few lines can look as though you did not take the application seriously.

### Should I mention my work permit or immigration status?

You do not have to, and employers generally should not ask about citizenship beyond whether you are legally entitled to work in Canada. If you hold permanent residence or an open work permit, a single sentence stating that you are eligible to work in Canada can reassure an employer. Keep it factual and brief rather than making it a central part of the letter.
